This policy explains what CrewGot collects when you use the marketing site, partner or referral forms, owner dashboard, or worker training flow, and how that information is used.

Who we are

[Your Texas LLC or Corp legal name] ([Street address, Houston, TX ZIP]) provides multilingual chemical-safety SOP training and printable completion records for commercial cleaning companies. For privacy questions, email privacy@crewgot.com.

Information we collect

Account data: owner name, email, magic-link or Google sign-in, business name, location name and address, plan, and billing identifiers from Stripe.

Partner and referral forms: when you submit “Become a partner” or “Send a referral,” we collect your name, email, optional phone, city, note, and — for referrals — the referred company name and optional owner name, email, and phone. We store these as inbound leads so we can respond and track status in our admin tools.

Training data: worker first name, last initial, optional phone number, language, module watched, watch percent, quiz answers, timestamps, and SOP version.

Content you upload: SOP variables, manager photos used as digital twins, and generated videos or PDFs.

Technical data: device type, IP address, approximate location, cookies or local storage needed to keep you signed in, and basic product analytics.

How we use it

We use this information to run the product: authenticate owners, generate training videos and quizzes, send optional SMS links, store completions, export completion record PDFs, and bill your plan.

Partner and referral submissions are used only to evaluate and reply to supplier-partner or owner-referral requests, confirm referred companies, and administer any agreed payout or free-month credit. We may email you at the address you provided for that purpose.

We may use aggregated, de-identified usage to improve CrewGot. We do not sell personal information.

Processors we rely on

Supabase hosts the database (including inbound lead records). HeyGen generates multilingual training videos from scripts and, when you enable those features, from a manager photo or voice sample you upload. OpenRouter may translate quizzes. Stripe processes payments. Twilio sends SMS invites if your plan includes them. Resend may send transactional email. Cloudflare R2 may store media. These providers only receive what they need to perform that work.

Biometric data (photo twin and voice clone)

When available, an owner may upload a manager headshot or voice recording to generate a custom presenter. Those features may involve face geometry or a voiceprint under Texas law. They are off by default until we publish individual consent language approved by counsel. When enabled, we store samples in private storage, send them to HeyGen to generate video, and do not sell them. The depicted person must consent before capture.

Workers and companies

The cleaning-company owner is the controller of crew training records. CrewGot processes that data on the owner’s instructions. Workers who scan a QR typically provide a first name and language so the company can prove who completed training. Ask your manager if you have questions about your record.

The public cleaner demo at /w/demo does not ask for your name and does not save a training record.

Retention

We keep account and completion records while the location is active so you can retain historical training proof. Partner and referral leads are kept while we are evaluating or managing the request, then deleted or anonymized when no longer needed, unless we must keep them for legal, tax, or dispute reasons. After you close an account, we delete or anonymize personal data within 30 days unless we must keep it for legal, tax, or dispute reasons.

Security and breaches

We use access controls, encryption in transit, and row-level security in our database. No method is perfect. If we learn of a breach that affects your organization data, we will notify account owners without undue delay and describe what happened and what we are doing.

Your choices

Owners can update location details, languages, and avatar photos in Settings, and can request export or deletion of their organization data by emailing privacy@crewgot.com.

If you submitted a partner or referral form, email privacy@crewgot.com to ask for a copy, correction, or deletion of that submission.

Workers should contact their employer for access or correction of training records.

Cookies

We use essential cookies and similar storage for login sessions. We do not use advertising cookies on the worker training flow.

Children

CrewGot is not directed at children under 13. Do not create an owner account for a minor. Owner accounts must be 18 or older.

Changes

If this policy changes in a material way, we will update the date on this page and, when required, notify account owners by email.
